The most important thing to know: your salon data is collected only to run appointments, communication, and service support. It is not sold, rented, or shared for marketing.

Overview

This privacy policy explains how the J. James Unisex Salon App ("the App") collects, uses, and protects your personal information.

The App is owned and operated by J. James Unisex Salon, located in Sacramento, California.

Sunset Coding LLC serves solely as the contracted technology partner responsible for maintaining the App's infrastructure, database, and bug fixes. Sunset Coding LLC does not own, control, or use client data beyond what is necessary for technical maintenance and support.

Information We Collect

We collect limited personal information necessary to provide booking, communication, and appointment services:

  • Contact Information: Name, phone number, email address.
  • Appointment Details: Selected service, preferred time, stylist notes, and status updates.
  • Style References: Optional photos you upload as inspiration for your stylist.
  • Device Data: Notification tokens, app version, and basic error logs to improve performance and security.
  • Saved Card and Policy Records: Card brand, last four digits, expiration month/year, Square card identifiers, consent timestamps, policy version, billing contact details, and no-call/no-show or late-cancellation/late-reschedule charge status when the card-on-file policy applies.
  • Service Checkout Records: Salon checkout setting changes, one-time approval requests, the exact approved service, itemized visit add-ons, customer-selected tip, total and card binding, request expiration and status, delivery attempts, staff charge attempts, Square order and payment identifiers, and receipt or refund status.

The App does not store full card numbers or card security codes. Card entry and secure card storage are handled through Square, which has its own privacy policy.

Saved Cards, Service Checkout, and Attendance Policy

When the card-on-file policy applies, all clients must keep a valid card on file before booking. Square securely stores the saved card. The App stores only limited card summary and policy records needed to confirm consent, display card status, support disputes, and process approved no-call/no-show, late-cancellation, or late-reschedule fees or a completed-service balance you allowed us to charge.

  • The active attendance policy shown during booking identifies its notice window, fee amount and basis, and the events it covers.
  • No-call/no-show appointments may be marked by salon staff after attendance is reviewed.
  • If the policy applies, the saved card will be used only for the applicable fee after salon staff confirms the no-call/no-show, late cancellation, or late reschedule.
  • If you separately turn on Salon checkout in Settings or while approving a one-time checkout request, staff may charge the current saved card after reviewing a completed appointment for the confirmed service and itemized last-minute add-ons you requested during the visit, up to $50 in visit add-ons, less any deposit already applied. Tips require your separate choice. Products, tax, surcharges, and other amounts are excluded.
  • You may revoke Salon checkout without removing the card used for the attendance policy. Replacing or disabling the card turns Salon checkout off for the prior card.
  • If Salon checkout is off, you may sign in and explicitly approve one exact, expiring checkout request. Viewing or signing in does not approve or charge the card. You may select no tip, a displayed percentage, or a custom tip; no tip is selected by default. The barber performs the final review and charge.

How Your Data Is Used

Your data is used only to:

  • Manage appointments and confirmations.
  • Send notifications and reminders.
  • Upload, store, and display style reference images for your stylist.
  • Confirm saved-card consent, your Salon checkout setting, and appointment attendance policy status.
  • Deliver and audit itemized, exact-total checkout requests and tip choices, prevent duplicate charges, and support full or partial reversals, receipts, and disputes.
  • Improve app performance and resolve technical issues.

We do not sell, rent, or share your data for marketing purposes.

Data Storage and Retention (User-Driven Deletion)

Important

Style reference images are permanently deleted only when you archive the appointment from your "My Appointments" section, or when support processes a manual deletion request.

All appointment and profile data are securely stored in Google Firebase and Firestore, managed by Sunset Coding LLC on behalf of J. James Unisex Salon.

When you upload a style reference image for an appointment, that image is securely linked to the appointment record and visible only to you and authorized salon staff involved in your service.

User-controlled deletion: Style reference images are permanently deleted only when you (the client) archive the appointment from your "My Appointments" section.

Admin archiving does not delete images. Administrative archives are for internal scheduling and record-keeping only.

If you choose not to archive an appointment, your style reference image will remain securely stored until you take that action.

You may also contact support at any time to request manual deletion if you prefer not to archive through the app.

This design gives you full control over when uploaded images are removed. Once an appointment is archived by the user, its linked images are immediately and permanently deleted from Firebase Storage, and metadata is purged during the next synchronization cycle.

All data is encrypted in transit and at rest, and only authorized personnel have access to appointment records.

Data Retention and Deletion Requests

We retain data only as long as necessary to provide services or as required by law. You may request deletion of your profile or appointment history by contacting support (email below). Deletion requests are verified and processed securely.

Salon checkout setting changes, one-time approvals, delivery, payment, refund, and audit records may be retained after a profile-deletion request when reasonably necessary for transaction security, accounting, dispute handling, fraud prevention, or legal obligations. We limit these records to the evidence needed for those purposes and do not retain full card numbers or card security codes.

Your Rights

You have the right to:

  • Access, correct, or delete your data.
  • Withdraw from appointment-related text notifications at any time by replying STOP.
  • Request details about stored information.

SMS Messaging and Checkout Requests

When you expressly opt in to appointment-related SMS messages during account registration or in your account settings, you consent to receive transactional text messages related to your appointments from J. James Unisex Salon.

  • Appointment confirmations.
  • Appointment reminders.
  • Service-related updates such as scheduling changes.
  • Secure links to review and approve an exact completed-service checkout.

Message frequency varies based on your booked services and appointment activity. Message and data rates may apply depending on your wireless plan.

You can opt out of appointment-related SMS messages at any time by replying STOP. For assistance, reply HELP or contact the salon using the information listed below.

SMS consent and phone numbers are not shared with third parties or affiliates for marketing or promotional purposes.

For delivery and troubleshooting, we may store the message provider identifier, delivery status, attempt time, suppression reason, and opt-out state. A checkout link is an access path to an authenticated request; opening it does not approve or charge the card. SMS consent is not a condition of purchase.

Third-Party Services

The App relies on trusted third-party providers to function:

  • Firebase / Google Cloud — Authentication, data storage, push notifications.
  • Square Payments — Secure checkout and transactions, including secure storage and charging of authorized cards on file.
  • Twilio — Appointment-related SMS delivery for confirmations, reminders, service updates, and checkout-approval links.
  • Google Maps — Location display and navigation integration.

Each service has its own independent privacy policy and data handling standards.

Children's Privacy

This App is intended for individuals aged 16 and older. We do not knowingly collect information from children under 16.
